1.         Making progress on ECUS Operating Procedures, (tentative draft is 2006 version) modified as needed, available in hmtl and MsWord formats at http://info.gcsu.edu/intranet/univ_senate/ECUS/

Ø      See handout entitled “University Senate Bylaws – Executive Committee

Ø      See handout of ECUS Calendar and ECUS Checklists of annually recurring tasks

2.         Discussing the method by which intracommittee communication would be supported (if no change from previous years, it would be by email list, although Web CT is an additional possibility)

3.         A review of the evolving draft of a myCATS University Senate tab

4.         Committee minutes (level of detail, guidelines to promote consistency) and action tracking

5.         Start - up issues (naming a parliamentarian, organizational committee meetings for Aug 24, ECUS tasks)

II.Section3.B.3.  The Executive Committee shall name a parliamentarian to the University Senate for the coming academic year at the first regular University Senate meeting. The Presiding Officer may refer to the parliamentarian as to the proper procedure to be followed in matters of rules of order.

IV.Section3.A.. Within ten (10) calendar days of the Spring organizational meeting of the incoming University Senate for the subsequent academic year, each of the incoming standing committees shall hold a meeting at which they elect a chair in accordance with V.Section2.B.1.  The Executive Committee shall designate a facilitator to both preside at this meeting and conduct the elections of the committee chair.  Should there be any unfilled positions on the incoming committee, specifically members not known by name such as SGA nominees, Presidential Appointees named by title, etc., the Executive Committee shall name voting proxies for the election of the committee chair from the pool of outgoing committee members.  Within fifteen (15) calendar days of the first day of classes of the Fall semester, the incoming committee shall conduct an organizational meeting at which they will elect a vice chair and a secretary in accordance with V.Section2.B.1.  The Executive Committee shall designate a facilitator to both preside at the organizational meeting and conduct the elections of committee officers.

6.         Parliamentary Rules (Ken Farr and I are drafting a "cheat sheet" for this -- primarily seek your reaction to the current draft)

Ø      Refer to the current drafts  Format1    Format2 (more comprehensive)

Ø      Consider offering an workshop (optional/required) for Senators as part of first meeting

7.         Guidance for individual standing committees (menu of policy to review tailored to each committee)

Ø      See handout entitled “University Senate Bylaws – Standing Committees

Ø      For example for FAPC (Faculty Affairs Policy Committee) perhaps the relevant BoR Policies and Academic Affairs Handbook sections could be enumerated

Ø      As there are five of us and five committees, perhaps we each do this for one committee and then compare notes

8.         Other matters that should be discussed

Ø      Graduate Assistant

9.         The need and feasibility of any other coordination prior to our Aug 16 meeting.
