Congratulations on be elected to serve as a  Standing Committee Officer of the University Senate.  The standing committees of the senate are a critical component of shared governance on our campus, and in general are expected to communicate and vet the issues that of concern to our university community.  ECUS has asked me to organize an orientation to help you transition into your duties as Standing Committee Officers.  At this time I ask you to save the date on your calendars for the meeting to held August 21, 12:30-1:45, in the library room 302.  Lunch will be provided by the president’s office so please let me know if you are able to attend so we can get a proper count of the number of lunches required.  Also let me know if you have any dietary restrictions for crossroads to address.  Some of the topics that were addressed in the past are as follows.

 

·         Distinction among policy, procedure, information items. How to determine if it should be in your committee.

·         Agenda coordination

·         Minutes format

·         Committee Operating Procedures

·         Roles of officers

·         Officer coordination with predecessor to promote continuity (e.g. incoming chair coordinate with outgoing chair)

·         Annual Comprehensive Committee Report Template

·         Guidance and clarification for the submission of motions (into the online motion database)

·         Finding any past motions or policy to research a new issue

·         Guidance and clarification of setting up working groups within committees

o   subcommittee (permanent, bylaws change)

o   ad hoc committee (primarily considered if task is expected to span two or more monthly committee meetings, requires charter)

o   information gathering group (informal, short term)

·         Emerging themes from the most recent Governance Retreat

·         Advertise committee meetings on events calendar and agenda for meetings to University Community
