Re:           ELECTION OF UNIVERSITY SENATORS

It is time to consider the election of University Senators within your academic unit (school or the library). You are responsible for the disposition of the following:

   1. Members of the faculty determine the election procedure for senators representing their school and the library. University Senate Bylaws require:

                A.     Election by secret ballot after open nominations

                B.     Eligibility requirements to serve as an elected faculty senator are:

                                a.     Eligible faculty members must be included on the Corps of Instruction list used to determine apportionment

                               b.     Eligible faculty members must have completed two years of service at the time they take office.

                C.     Eligibility to vote in faculty senatorial elections is membership in the Corps of Instruction

   2. Notification of the election procedure used in the schools and the library will be shared with the Executive Committee via email (ecus@gcsu.edu)  by December 1, 2007.

   3.  Election results and notification that the school’s/library’s election procedure was followed will be shared with the Executive Committee via email by February 1, 2008.

The following documents have been attached for your convenience in locating information:

   1. Election Calendar. Since August 2006, the schools and the library publish their election process by December 1 and publish the results of their elections by March 1. The 2008-2009 election calendar can be found at:
Election Calendar in html format: http://info.gcsu.edu/intranet/univ_senate/Elections_0809/election_calendar.htm

Consistent Dates (slightly revised language) MSWord format: http://info.gcsu.edu/intranet/univ_senate/Elections_0809/ElectionCalendar.doc

   2.  Terms of Service. The Executive Committee devised a plan to implement the change in University Senate bylaws from electing senators for two-year terms of service to three-year terms service. This year, one third of the senators will be elected to serve three-year terms, while two thirds will be elected to serve two-year terms. The terms of service document shows each senator, whether a senator’s term is ending or continuing, and the number of senators to be elected for two-year and  three-year terms: http://info.gcsu.edu/intranet/univ_senate/Elections_0809/EFS_2007-08_Terms.doc

   3.  Board of Regent Policy and University Senate Bylaws. Relevant Board policy and University Senate bylaws can be access from:

   4.  The Corps of Instruction List. The Cops of Instruction list indicates faculty members who are eligible to vote. Faculty members in the Corps of Instruction who meet the requirements set forth about in Item 1 are eligibility for election. The Corps of Instruction list is available at:

   5. Apportionment Report. The apportionment report for the election of senators for 2008-2009 and 2008-2010 terms is based on the Corps of Instruction list and uses the Huntington-Hill method of apportionment (the method used by the United States Congress) to apportion 34 of the 36 elected faculty positions on the University Senate to the schools and the library. The apportionment report is available at:
